Role /Mission: The Camp Rio Registrar is an integral part of the camp office team and is mainly responsible for answering phone calls and coordinating paperwork and administrative tasks for all programs run at Camp RIO. The Registrar is charged with managing staff forms, organizing pre-camp documents and mailings, and oversees the intake, screening, and management of camper, school, and company information. The responsibility of this role is to provide excellent customer service to camper families. This person literally represents the voice and unseen face of Camp Rio and must present a positive, competent, reassuring, and cheery persona.




Assist in the daily business of Camp RIO

  • Respond to all forms of communication: e-mail, mail, telephone in a timely manner and with proper grammar and a high level of professionalism
  • Maintain registration software and ensure all calendars are up to date
  • Maintain the camp databases, including updating contact information. 
  • Prepare and disseminate informational lists (i.e. Medical, Liability, After camp) to the administrative staff during the summer. 
  • Must be flexible and adaptable.  Weekly schedule may include occasional weekends and/or evenings
  • Coordinate with business clerk to order supplies
  • Help with set-up, tear-down, and other camp projects as needed
  • Monitor enrollment numbers and report on areas of need
  • Ensures all visitors check-in via Raptor system.


Assist in the daily business of the Summer Camp Programs so that 95% of summer day camp registrations and 90% of summer overnight camp registrations are filled by the first day of the last session of camp in summer 2023.

  • Take prospective families on tours of the camp as needed
  • Maintain a variety of files and forms for the purpose of documenting and/or providing reliable information relative to camper and staff records
  • Collaborate with the camp office staff to improve programs for campers, including application/brochure materials, daily schedules, registration, and policies. 
  • Organize and mail packets to enrolled overnight summer campers. 
  • Coordinate camper and camp staff related paperwork. 
  • Assist program manager with existing recruitment strategies for summer campers to register for available openings at summer camp.
  • Prepare online and printed forms (i.e. Applications, Medical Forms, etc.) and other job-related documents using prescribed format and conforming to the rules of punctuation and grammar.
  • Insure that 90% scholarship/sponsorship recipients are registered before the first week of summer camp.


 Assist with Events Department with registering and producing weekend events with an average revenue of $X per day event and $X per overnight event with total revenue exceeding $X, by May 31, 2023.

  • Sets up pre-camp meetings with groups 2 weeks in advance of the trip and occurring at least two days in advance of the scheduled visit date.
  • Send pre-visit paperwork to groups in advance of their trip.
  • Organize and maintain records of groups booked and contracts signed
  • Assist program manager with existing recruitment strategies for groups to register for available openings during the current year and for the following year’s calendar
  • Creates quotes and invoices for retreats and group registrations
  • Help Retreats Manager with preparation of events

  • Ensure all staff have access to materials and information for successful deployment of programs
  • Prepare and organize logistics for workshops and events for staff training.

  • Education: High School Diploma or GED
  • Experience:
    • 1+ years working with students of varying ages (Required)
    • Experience as office manager or office assistant (Preferred)
    • Experience working in an outdoor environment or at a camp (Preferred)
    • Experience in record/bookkeeping, data management, customer service and & general
      office functions a plus (knowledge of childcare and camp bookkeeping and vouchers).
  • Licenses or Certifications: Certified in or able to obtain or become certified in First Aid/CPR


Knowledge and Skills:

  • Experience working with children of all ages
  • Ability to work well with a team, as well as be counted on to complete independent tasks as necessary
  • Must possess an understanding of computer systems including Microsoft Suite, accounting procedures, and good business practices.
  • Ability to learn registration software platforms
