Director of Advancement Operations 

Position Overview 

The Director of Advancement Operations role is a nationally focused immediate opening on IDEA’s Advancement team. This position sits on the Advancement Lead Team and reports directly to IDEA’s Chief Advancement Officer. In this role, you will lead a team of 8 Advancement Operations team members in ensuring operational excellence across the entire advancement team in their efforts to build a network of IDEA supporters, funders, and elected officials across new and existing regions. The Director of Advancement Operations enables this work by positioning the advancement operations team members to provide strategic and tactical support in the areas of gift processing, prospect research, grant application, and reporting, campus engagement, financial & donor stewardship, salesforce database management, and community & signature events.  

Compensation & Benefits 

Salaries for people entering this role typically fall between $74,000 and $90,000, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.

In this role you will: 

  • Oversee the creation and procurement of stewardship resources to ensure exemplary execution of engagement opportunities 
    • Oversee the development of scripts, programming, collateral, preparation, and stage and logistics management for community and signature events, providing regular feedback, input, and guidance 
    • Oversee the development of virtual and in-person school tour resources, logistics, and facilitation to ensure a best-in-class guest experience for local and out-of-town guests 
    • Oversee the creation and procurement of research and email marketing tools  
    • Direct and manage the creation of salesforce dashboards to monitor and measure external engagement 
  • Ensure IDEA grant applications, reports, and solicitations are accurate, timely, and compelling through the incorporation of impactful student and teacher narratives and quality data 
    • Lead development of high quality and streamlined business partnerships with other IDEA teams to enable rapid acquisition of accurate and impactful data 
    • Direct and oversee the development of a team-wide data & narrative repository to provide quick and easy access to data pertaining to IDEA’s mission, model, and programs 
    • Prioritize high impact project management and design support for key national and regional grants 
  • Ensure proper use, accounting, and reconciliation of philanthropic gifts and awards 
    • Determine the best giving platforms, tools, and resources to procure for fundraisers to facilitate monetary donations and negotiate vendor contracts (credit card processors, peer-to-peer subscriptions, email marketing subscriptions, etc.) 
    • Develop and maintain relationships with key members of the accounting and budget teams to advocate for and monitor the use of philanthropic funds raised 
    • Maintains, develops, improves, and documents gift processing operating mechanisms and processes to ensure a quality experience for donors and accurate accounting of philanthropy 
    • Maintains up to date knowledge on IDEA Fiduciary Board signature policies and procedures and advises fundraisers on appropriate next steps pertaining to award acceptance 
    • Communicates processes and changes effectively to the broader advancement team 
    • Oversees the accuracy of prospect, donor, donation, and grant information entered in Salesforce 
  • Provide best-in-class operational support to ensure top performers remain on the IDEA advancement team and spend the majority of their time in the field  
    • Maintain internal Wrike request management and prioritization software to monitor, assign, and respond to advancement team support requests 
    • Provide targeted coaching, review, and professional development opportunities to members of the advancement operations team to ensure constant development of their practice  
  • Manage a remote team of 6 direct reports and one indirect report to provide exemplary customer service to the broader advancement team and key internal stakeholders (CEO, VP of Governance, Board Chair, etc.) 
    • Establishes hiring practices to attract top performers for every role on the advancement operations team, including screening exercises, interview protocols, and vetting mechanisms.  
    • Customizes onboarding practices to ensure each new team member is set up for success based on the unique responsibilities of their role.  
    • Maintain and improve standard onboarding procedures across members of TeamAO for onboarding new members of the broader advancement team. 

Required experience: 

  • Education: Bachelor’s Degree   
  • Experience: 3-5 years of professional experience, preferably in education, or within a nonprofit 
  • Record of results in project management 
  • Record of results in effective written and verbal communications 
  • Experience managing a team and building team culture 



As part of the Advancement team, you will contribute to reaching the following ambitious goals and will be responsible for leading your team to meet them as well. 

  1. Raise funds to support Growth, College Matriculation or Programming by June 30, 2021.  Measurable goal  
  2. Ensure 100% of IDEA’s grant reports (90-120 annually) are submitted on time and accepted by the funder 
  3. All advancement team salesforce users reach 90% proficiency by June 30, 2022. 
  4. Each monthly philanthropic gift reconciliation results in less than 5% discrepancies between philanthropic records recorded in salesforce and those recorded in Tyler Munis (IDEA’s accounting software). 
  5. 85% of the regional and national development team and advancement operations team return to IDEA for the 2022-2023 fiscal year.
